Starting prices use the cheapest plan with a published price. Where a vendor only quotes, the table says so. Open a product for plan-by-plan prices and the page each figure came from.

Our notes

SaaS management software finds the cloud apps a company pays for or uses, shows how much of each license is in use, and tracks when each contract renews. The eight products on this page each do all three: app discovery, license usage tracking and renewal management. We read every claim and price on the vendor's own website on November 4, 2026, and each product page links to the pages we used. Everything below is what the vendors say about themselves, since we have not run these products ourselves.

What the three required capabilities mean

App discovery is how the tool builds its list of apps. Some products read identity data from single sign-on, some read finance records, and some watch browsers or devices. A product that uses one source only sees what that source sees.

License usage tracking compares the seats a company pays for with the seats people actually use. The useful version reads activity from the app itself, such as last login, rather than counting accounts.

Renewal management means the product holds contract dates and warns the buyer before a deadline passes. Warning matters because many software contracts renew automatically, and the notice window for cancelling can be months ahead of the renewal date.

Where each product looks for apps

The discovery sources differ more than any other feature, so this is the first thing to compare.

Torii lists identity provider and SSO data, finance and expense data, direct integrations and a browser extension. It says the extension catches tools that never touch the identity provider.

Zluri says its discovery engine pulls from SSO systems, mobile device management tools, CASBs and local devices. It also cites 300+ direct API integrations.

BetterCloud names three sources: SSO, a browser extension and ERP data. Flexera One SaaS Management goes widest on its own list, with financial data, API connectors, a browser extension, SSO and CASB connections, and the Flexera agent.

CloudEagle says it builds its inventory through 500+ direct integrations across SSO, finance, HRIS, browser, firewall and contract data. Josys says it uses login data, browser activity and integrations, and can flag unauthorized apps for approval.

Zylo takes a different route. It reads financial systems such as ERP, accounts payable and expense records, finds software purchases and matches them to apps. Its product page does not describe other discovery methods, so an app that is free or paid for outside those systems may not appear.

Cledara builds its list from what a company pays for, since it also issues company cards. Its homepage shows an example of a tool found on an expense claim.

A practical test is to ask each vendor how it would find a free tool that an employee signed up for with a work email and no purchase. The answer shows which sources the product really depends on.

Tracking licenses against actual use

All eight say they compare paid seats with real activity. The detail is in how they get the activity data.

Zylo says it gets usage data through integrations with supported SaaS apps. CloudEagle says it shows active versus assigned users and last login per license, with nightly syncs, and it describes feature-level activity across its integrations. BetterCloud lists direct integrations with Zoom, Salesforce and Microsoft 365 for feature-level usage.

Torii says it flags inactive, duplicate and abandoned seats and can reclaim them through policies. Zluri says it can auto-reclaim or downgrade licenses based on usage thresholds. Josys offers a License Optimization Dashboard and says it connects to 300+ SaaS apps to track licenses, usage and expenses.

Flexera says its usage insights cover managed and unmanaged apps, and for hybrid products such as Microsoft 365 it combines online and installed usage. Cledara shows seat counts in its application list.

Coverage matters more than the headline claim. A tool can only report usage for apps it has a connector for, so list the five or six apps where you pay the most and ask each vendor, in writing, whether it reads usage from each one directly.

Renewals, alerts and contract data

The products differ on whether they warn you or only show you a date.

BetterCloud offers custom 30, 60 and 90 day key date alerts. CloudEagle says AI extracts renewal dates, notice terms and opt-out clauses from contracts and builds a renewal calendar. Its page describes alerts both as starting 90 days early and as going out at 30, 60 and 90 days, so confirm the schedule before relying on it.

Torii lists auto-alerts for renewals and auto-renew clauses, plus a shared renewal calendar. Zluri says it sends software renewal alerts. Cledara says it flags renewals in advance with a reminder before each one. Josys describes automated alerts and workflows in a vendor article rather than on its product page.

Zylo and Flexera are the cautious entries. Zylo describes a centralized renewal calendar ranked by savings potential and recommends starting renewal work about 120 days ahead, but its page does not mention alerts. Flexera shows upcoming contract renewal dates next to usage, and its page also does not mention alerts. If an automatic warning is a requirement, ask both vendors whether it exists and on which plan.

What these products cost

Most vendors here do not publish prices. Torii, Zluri, Zylo, CloudEagle and Flexera show no figures on their pages and send buyers to a demo or quote request. Zylo sells three plans named Core, Premium and Enterprise, all by quote.

Josys says its price depends on the number of identities governed. It is the only quote-based product here with a stated free trial, at 14 days with no credit card required. CloudEagle links a free trial from its pricing page but states no terms, so we list it without a trial length.

BetterCloud is the one exception among the larger vendors. Its pricing page lists Spend Optimization Basic at $0 a month, and says the full module, User Automation and other products are quoted. The page says the price reflects license count, connected apps, chosen modules and add-ons such as Data Loss Prevention.

Cledara publishes the most detail, in pounds sterling. Basic costs £75 a month for up to 20 apps, Premium costs £200 a month for up to 75 apps, and Pro starts at £500 a month. Annual billing saves 16%, which Cledara calls two months free. We show these as listed and do not convert them to dollars.

Add-ons raise the Cledara bill. Spend Optimisation, IT Management and Software Compliance are £150 a month each, and each Cledara Agent is £200 a month. Extra active members on its spend product cost £5 a month each.

Quote-only pricing makes comparison hard. Ask every vendor for a written quote that states the billing unit, the term length, the renewal increase cap and what the first-year onboarding includes. Ask as well whether the price changes as you connect more apps.

Security statements

Security claims vary in how clearly they are stated. Torii states SOC 2 Type II and says it adheres to GDPR. Zluri's FAQ states compliance with GDPR, NIST, SOC 2 Type II, PCI-DSS, ISO/IEC 27001 and ISO 27701. Zylo's trust center lists SOC 2 Type 2 and GDPR.

BetterCloud says it holds a SOC 2 Type II attestation and ISO/IEC 27001:2022 certification, and customers must ask for the SOC 2 report through their account contact. Cledara states SOC 2 Type II and GDPR compliance and claims no ISO 27001 certification of its own, though it notes that its hosting provider holds one.

Josys shows SOC 2 Type 2 and ISO 27001 badges in its footer, and its trust center page gave no further text when we checked. CloudEagle's security page describes what the product helps customers meet, and we found no plain statement of its own certifications. Flexera's product page says only that data is stored in Microsoft Azure, with some services on AWS, and encrypted in transit. A blank in our table means we could not confirm it, not that the vendor lacks the certification.

Vendor numbers are marketing

Several vendor pages quote savings figures, customer testimonials and benchmark statistics. Zluri's page includes a customer reporting $172,000 in savings in six months, and CloudEagle's page claims customers typically recover 10% to 30% of annual SaaS spend within 90 days. Torii cites a benchmark of 831 apps per company with 15.5% sanctioned, which comes from its own marketing material.

We do not repeat these as findings because none of them comes with a method. A fair way to use them is to ask the vendor for a reference customer of your size and ask that customer what they saved and how they measured it.

How to choose

Start with what you already own. A company with a strong identity provider and clean single sign-on data gets the most from products that read that data. A company where teams buy tools on cards and expense claims needs finance-side discovery, which is where Zylo and Cledara start. Mixed environments with many unmanaged apps need several sources, so check the full list of discovery methods for each shortlisted product.

Next, decide who acts on the findings. Some products reclaim licenses automatically by policy, while others show the waste and leave the work to a person. Automatic reclaim saves time and can also remove a seat someone needs, so ask how each vendor handles an undo.

Then check renewal timing against your own contracts. Pull the notice periods from your five largest software agreements and compare them with each product's alert schedule. A 30 day alert does not help with a contract that needs 90 days of notice.

What to test during a trial

  • Connect your identity provider and your expense or finance system, then count how many apps appear from each and how many appear from both.
  • Pick three apps you pay for and compare the product's active seat count with the vendor admin console.
  • Upload one real contract and check the renewal date, notice period and auto-renew clause the product extracts.
  • Ask for the renewal alert schedule in writing and have a test alert sent to a real inbox.
  • Request a written quote that lists the billing unit, term, renewal cap and every add-on.
